Never Lose a Client to "Fully Booked" Again: Your Waitlist, Your Way

By Nail Tech Success Team

"Fully Booked" Shouldn't Mean "See You Never"

Every nail tech knows the feeling. A client messages asking for an appointment next week. You're booked solid. You tell them to check back. They don't. They go somewhere else.

That enquiry was a future booking, a potential regular, a referral source — and it slipped through your fingers because you didn't have anywhere to put it.

The waitlist feature in the Nail Tech Success Planner fixes this. When a client wants a slot you don't have, they join your waitlist. When a slot opens up, the right people are notified — automatically.

How It Works

When a client tries to book a day or time that's full, they're offered the option to join your waitlist. They provide their contact details, the service they want, and their preferred days and times.

That information is stored against your business. When a cancellation comes in or you open up new availability, the waitlist does the matching for you.

You don't have to remember who wanted what. You don't have to manually scroll through old messages. The system holds that information and surfaces it at exactly the moment it becomes useful.

You Choose How It Runs

Not every business runs the same way, and your waitlist shouldn't either. The Success Planner gives you three notification modes:

Everyone — When a slot opens, every waiting client is notified. First to book wins. This is great if you want to fill cancellations fast and don't mind a bit of healthy competition among interested clients.

Next in Line — Only the person at the top of the list is offered the slot. If they don't take it, the next person is offered. This is more personal and fair — it rewards the clients who have been waiting longest.

Best Match — The system looks at the client's preferred days, times, and requested service, and notifies the clients whose preferences best match the slot that opened up. This is the smartest option — it reduces no-shows because the slot genuinely suits the person being offered it.

There's no single right answer. Think about your clients, your volume, and how hands-on you want to be.

Why It Matters

A waitlist isn't just about filling cancellations. It's about never wasting an enquiry.

Every person who reaches out is expressing interest in your services. If you capture that interest, even when you can't serve them immediately, you've planted a seed. When the time comes, you're the first person they hear from — not the competitor they ended up visiting because you were too busy to follow up.

It also protects your time. Instead of playing phone tag with a list of people who might want a Tuesday afternoon, the waitlist tells you exactly who's interested and what they're looking for.

Setting Up Your Waitlist

The waitlist is built into your booking page automatically. All you need to do is choose your notification mode in your booking settings, and the system handles the rest.

If you've never used a waitlist before, start with Everyone — it's the simplest and fills gaps fastest. As you get more comfortable and your waitlist grows, try Best Match to be more targeted about who you offer each slot to.

The clients you can't fit today are the bookings of next month. Don't let them walk away.
